Position Description The Construction Administrative Assistant will be responsible for providing administrative and clerical support to the construction team on the day to day activities of the R3 Program projects. Responsibilities include keeping track of project documentation, monitoring compliance requirements completion, assisting the Construction Managers with project schedules and check-in with subcontractors. The individual will collaborate with internal and external stakeholders by providing information and resolving problems in the most efficient and organized way. Job Responsibilities Maintains familiarity with CDBG‐DR requirements relative to homeowner participation and construction work in the homeowner assistance program. Analyzes information received by Subcontractors and homeowners by developing reports and verifying information. Answers phone calls, emails and follow up requests in a professional manner. Employs standard protocol for communication with and between team members, subcontractors, homeowners, engineer team and contractor staff. Assists with reviewing and managing Requests for Information (RFI) and submittals. Participates in team meetings to discuss project status, technical issues and project coordination needs with other departments. Sends Work Order NTP to subcontractors and reviews the construction deliverables documents. Assists with project documentation tracking, ensures compliance requirements are met and prepares project closeout documents. Manages Quickbase and Canopy platforms for project management requirements and project completion. Serves as liaison between the Project Manager and Field staff providing support in the decision-making process related to the construction SOP and Program Guidelines. Collaborates reviewing drawings and project specifications to align with construction practices. Assists with Purchase Order submission, as needed. Assists Project Manager on takeoff and estimate for scope changes. Designs and/or recreates documents electronically, as needed. Assists the Project Manager and the Construction Lead with the information or documentation requested by the Program Manager (PM), HORNE and/or DOH. Maintains the general office filing system. Elevates concerns or issues to senior staff, as appropriate. Provides support to other team members as necessary. Job Qualifications Bachelor’s degree in Administration, Business or related area. Minimum of (2) years of administrative experience or similar job. Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Ability to work in a fast-paced and constant changing environment. Strong multitasking skills with the ability to prioritize tasks. Analytical and problem-solving skills with a keen eye for details. Ability to manage time effectively, establish priorities, and finish tasks quickly. Strong verbal as well as written communication skills. Fully bilingual, English and Spanish.
